From spreadsheet to slide: how to build every chart in a deck from the Excel

Pasted chart pictures go stale the day the numbers change. How to brief a deck so every chart is built from the spreadsheet, stays live and says one thing.

From spreadsheet to slide: how to build every chart in a deck from the Excel

A chart in a deck should be built from the spreadsheet, not pasted from it. A built chart keeps its data, takes the template's colours and updates when the numbers change. A pasted picture looks the same on Monday and is wrong by Friday.

Why pasted charts cause trouble

  • Nobody can change a value without going back to the spreadsheet, rebuilding the chart and pasting again.
  • Colours and fonts come from the spreadsheet, not the template, so every chart looks different.
  • Pictures blur on a projector and cannot be read by screen readers or search.
  • Finance cannot check a number by opening the chart's data.

What a good data slide does

It says one thing, and the title says it. "Q3 revenue reached €16.5M, up 20.2% year on year" is a title; "Revenue" is a label. The chart then proves the title, the key figure is highlighted, and everything else is quiet. We wrote more about this for dashboards in what makes a good dashboard; slides follow the same rules with less room.

A real run: ten slides from one spreadsheet

The draft below named every metric but showed none. It went to wetria with its spreadsheet and one line: "Executive committee deck, dark style. Build every chart from the attached Excel." Design mode, ten slides, 87 tokens.

Draft slide: revenue growth stated in bullets with a note describing the chart to build
Result: the growth figure in the title and a monthly revenue chart built from the spreadsheet

The EBITDA bridge, the hardest chart in most decks, came back as a waterfall built from the sheet, with the drivers labelled and the result highlighted.

The bridge slide from the same run. In PowerPoint and Keynote the chart keeps its data.

How to brief it

  • Attach the spreadsheet (.xlsx or .csv), not screenshots of it.
  • In the draft, write what each chart must show in one line: "Revenue by month, Q3 2026 against 2025."
  • Name the style you want once for the whole deck, for example dark or light, and whether to use your template's chart palette.
  • Keep the source note. A data slide without a source is the first one a board member questions.

Which apps keep the chart live

PowerPoint and Keynote keep charts as charts, with their data. Google Slides and Figma import charts as pictures; for those, keep the PowerPoint file as the master and update from there. More in what editable really means.

Frequently asked questions

How do I keep a chart editable when I move it from Excel to PowerPoint?

Insert or build it as a PowerPoint chart with its own data sheet, rather than pasting a picture. wetria builds charts this way from an attached .xlsx or .csv.

Can wetria build charts from my spreadsheet?

Yes. Attach the spreadsheet with the deck and say what each chart should show. Charts stay live in PowerPoint and Keynote.

Will the charts use my template colours?

With Adapt to template, charts take the template's chart palette. With Design, they follow the style you ask for.
